Cost of Running a Rally
Hi. Our Sth. Wales Branch is holding our Rally Next month in Cardiff. With little funds available to us What would the aprox cost of putting on a Rally for 100+ vehicles?

The stumbling block may be the insurance costs public liability etc

Well, if you're a proper MMOC branch you'll be covered by the MMOC national club insurance as you are part of that club and its a club event, so no problems there.
As for costs, its down to what the venue charge you, any programme, plaque of other memento that you produce to give to entrants and publicity (locla papers normally do it free in their whats on listings or even do a small article with aphoto shoot if you're lucky). Then its producing entry forms and posters which need to be posted out, poster for shop windows etc.
For eg, you may have to pay £100 for the venue, £1.20 each for some plaques if you order 100, and a branch member may do allthe printing and postage at cost - say £50. You've then spent £270 so it would be reasonable to chargw £3 each to entrants and hope for a nice day and get 100 cars in. (You may decide to charge a little more in case you get less cars perhaps?)Prebooking is good as if its a downpour and only half the cars turn out on the day you've still had the money. If its a nice day you'll get extras paying on the day so will do better. Its a little bit of a gamble really, but can be supplemented with Branch tombola, raffle, guess the weight of the cake, name of the cuddly toy type stall which supplements the income.

I have got my budget for this years Rally down to £170.00
We Have the venue free
The Rally trophies are sponsored by a local garage and cost £40.00 for 5
The Rally plaques cost £130.00
I have aprox. 100+ hours of my own time to do the organising of this Rally.
We are putting together a Rally Progran that sell advertising spaces at £10 and so far has raised £160.00
The Insurance is covered by the MMOC.
We have on site toilets and onsite catering. The Museum offer a full day of entertainment.
We have restrictions that we can't raise any money on offering charity stalls or venders to attend but we can sell our own Teas/Coffees and small cakes Last year we made £35.00 and we can have a few auto jumble stalls that we charge £15.00
Printing of the programs, Bunting, Tea making items ect are covered by a business that advertise in our program and we have a special Guest to present our trophies at the end of the day..

Like a jig saw all fallinto place. Just need the last piece (Good Weather) to finish the bigger picture.
Things like H+S is sorted and First Aid Cover ect. are met by the Museum and our own branch committee members.
